Client Intake Coordinator:


The Client Intake Coordinator works under the supervision of the Field Services Coordinator and is tasked with managing applications for Workforce Innovation and Opportunity Act (WIOA) Programs available across the West Central Arkansas region.

This role encompasses various responsibilities related to assessing program eligibility.

Effective communication with the public, timely and precise task execution, and meticulous documentation are crucial for success in this position.

The position is based in Russellville.
Key Responsibilities of

Client Intake Coordinator:

- Promote WIOA Programs through strategic outreach initiatives.
- Support off-site events and specialized locations.
- Possess a thorough understanding of local, state, and federal policies and procedures related to WIOA.
- Clearly articulate WIOA eligibility requirements to diverse audiences.
- Interpret and clarify eligibility criteria and processes.
- Conduct interviews with applicants to assess their needs and requirements.
- Complete intake documentation, including applications, with prospective clients.
- Determine and explain eligibility requirements to each individual applicant.
- Gather necessary eligibility documentation.
- Compile information, applications, and documentation to finalize and assess eligibility, including personal and financial details of applicants as needed.
- Maintain both physical and digital files and records.
- Create case notes detailing the eligibility process, barriers, eligibility determinations, and desired services.
- Establish accounts, input demographic data, and generate case notes into Arkansas JobLink.
- Maintain a database of applications, eligibility statuses, and requested services while providing regular updates.
- Track and report outreach efforts, inquiries, and referrals.
- Review eligibility determinations made by others for completeness and accuracy, providing detailed recommendations as necessary.
- Assign eligible cases to appropriate team members.
- Collaborate with the Business Services Team to assess eligibility for training initiatives.
- Work with partners to evaluate eligibility for dual and co-enrollments.
- Assist with scanning, filing, copying, and other administrative tasks.
- Function as a team member alongside other employees.

All team members are expected to have a foundational understanding of the services provided to customers and should be ready to offer backup coverage in these areas during peak times or when staffing shortages occur due to breaks, vacations, or illness.

Perform other related duties as assigned by the Field Services Coordinator.
Minimum Qualifications of

Client Intake Coordinator:

- An associate degree or higher is required. Relevant work experience is advantageous.

A measurable proficiency in computer applications is necessary, including but not limited to Microsoft Office, email applications, typing skills, and the ability to navigate various employment-related websites.

Familiarity with the Arkansas JobLink website is a plus.
- Team-oriented; excellent organizational skills, including multitasking; detail-oriented and thorough; ability to work independently.
- Strong interpersonal skills, energetic demeanor, positive attitude, and a commitment to assisting and serving individuals. Ability to thrive in a culturally diverse environment.
- Proficient in reading, understanding, and implementing technical legal documents.
- Ability to maintain confidentiality.
- Exhibit reliability and demonstrate a consistent presence at work.
- Must show the ability to connect with individuals and motivate them with respect and dignity.
