Position Overview

Role Summary:

Under the guidance of the Real Estate Manager, the Facilities Operations Manager is accountable for all physical elements of the residential community. This includes orchestrating and executing maintenance and repair tasks, ensuring the aesthetic appeal and quality of living spaces, addressing customer service inquiries, and complying with all safety regulations.

Maintenance Responsibilities:

  • Oversee and manage all facets of community maintenance
  • Plan and execute preventative maintenance, inspections, nighttime lighting assessments, and cleaning services
  • Keep precise records of all services rendered and contracts
  • Conduct daily property inspections to maintain aesthetic standards and identify safety concerns
  • Organize and manage apartment turnovers, including support during resident departures and unit renovations
  • Adhere to budgetary guidelines, monitor operational costs, and propose cost-saving measures for the community
  • Manage inventory and storage, ensuring adequate maintenance supplies for service requests and apartment turnovers, while maintaining accurate logs
  • Communicate with the Business Manager regarding recommendations for capital enhancements and maintenance needs for the annual budget
  • Coordinate all contracted services, including soliciting and evaluating bids, assessing completed work, and tracking invoices for timely payments
  • Supervise the use of property vehicles if applicable
  • Alert Business Managers to solutions for any safety or liability issues, as well as preventative maintenance requirements
  • Assist with snow removal as necessary
  • Conduct and document weekly safety meetings covering procedures, training, safety equipment, and equipment usage
  • Perform additional duties as required

Customer Engagement:

  • Address service requests from residents and team members promptly, in line with company policy
  • Deliver exceptional customer service with a courteous and professional demeanor towards all clients and team members
  • Audit key tracking systems on a daily and weekly basis
  • Participate in after-hours emergency response and ensure property staff availability 24/7

Team Development:

  • Assist the Regional Service Director and Real Estate Manager in the selection of new hires
  • Train, coach, and mentor team members, ensuring they receive appropriate training
  • Foster a collaborative team environment: conduct weekly team meetings; manage by objectives, and promote open communication
  • Create work and on-call schedules for service personnel
  • Provide ongoing feedback to team members, evaluate performance through scheduled formal reviews, and take corrective actions as necessary according to company policy. Offer recommendations for compensation adjustments, promotions, and terminations

Qualifications:

  • High school diploma or equivalent
  • CFC Certification Universal
  • Valid Driver's License
  • 4+ years of experience in maintenance and repair within residential communities
  • 2+ years of supervisory experience
  • Strong computer skills and proficiency in Microsoft Office
  • Excellent English communication skills, both verbal and written
  • Ability to navigate the property, ascend stairs, lift 60 lbs., climb ladders over 10 feet, and perform other general physical activities such as bending, kneeling, and pushing
  • Comprehensive knowledge to effectively complete maintenance assessments to the standards of a Facilities Operations Manager
  • Must be available 24/7 for emergency situations
