As a Client Relations Specialist, your responsibilities will include:

  • Engaging in thoughtful analysis and decision-making to support our operations
  • Managing the lead advisor's email communications to ensure efficient processing
  • Organizing and prioritizing tasks to focus on critical items requiring direct attention
  • Staying informed about client meetings and ongoing projects to facilitate effective scheduling
  • Coordinating the lead advisor's calendar and commitments
  • Interacting professionally with clients and prospects, both via phone and in person
  • Collaborating with office personnel and external partners
  • Maintaining accurate client and office records
  • Processing new account documentation and ensuring database accuracy
  • Enhancing client service procedures, including managing our client relationship management system
  • Preparing for client appointments and managing the advisor's calendar
  • Executing multiple tasks in a fast-paced environment
  • Ensuring data integrity within our CRM and processing systems
  • Timely preparation of communications and mailings
  • Assisting clients with requests for contributions and distributions
  • Completing necessary training and recommending additional learning opportunities
  • Adhering strictly to confidentiality policies
  • Proficiency in MS Excel, Word, and PowerPoint
  • Other responsibilities as assigned

Qualifications for this role include:

  • A college degree is required
  • FINRA Series 65 is mandatory (Series 7, 66, or 63 is advantageous)
  • A minimum of three years' experience in an administrative or client service role within wealth management or a related field
  • At least two years of experience in a client-facing position
  • Strong communication and relationship management skills
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word, etc.)
  • Excellent organizational capabilities
  • Technologically adept and internet savvy
  • Ability to adapt to changing circumstances
