Responsibilities:- Coordinate the recruitment, scheduling, and travel of research study participants.
- Work with clinical staff to coordinate patient schedules, procedures, and imaging studies.
- Assess participant needs and address them with the clinical team.
- Distribute recruitment materials and communicate with participants, families, and staff.
- Act as a liaison between participants, staff, and other stakeholders.
- Maintain ongoing relationships with patients, families, and staff.
- Respond to patient emails and phone calls, and triage issues to the appropriate personnel.
- Stay current on Clinical Center and Institute communications, and update participant resources and educational materials as needed.
- Collate, enter, and maintain data collected on participants.
- Collect and upload medical records, and review them to collect relevant clinical data.
- Maintain patient files, medical records, and patient family contacts.
- Create reports and spreadsheets for tracking and scheduling of protocol patients.
- Obtain medical information, imaging disks, and pictures from applicants, and file them with the records.
- Coordinate new patient referrals, and refer prospective volunteers to the appropriate Institute contact person.
- Communicate with staff about intake and materials, and submit them for review.
- May assist in preparing credentialing packages, and perform Quality Assurance reviews on credentialing records.
- Monitor workflow, and administer and revise processes to maintain and improve operations.
- Work with staff to achieve optimum schedule and staff utilization, and troubleshoot scheduling issues to ensure maximum productivity.
- Monitor and identify areas of improvement in the clinic environment, and participate in quality improvement initiatives and maintenance of SOPs.
- Mentor and train staff on patient recruitment and coordination processes and procedures.
- Associates Degree
- Travel arrangement experience
- Knowledge of clinical protocols and medical terminology
- Strong organizational skills with the ability to successfully manage competing priorities
