The Toledo Clinic is in search of a dedicated full-time Medical Assistant/Office Supervisor to enhance our Administrative team. This role will involve working across multiple departments to support daily operations, drive process enhancements, and mentor newly appointed Office Managers/Coordinators. An active Medical Assistant credential such as RMA/CMA/CCMA is essential for this position. The role requires travel to various office sites.

Supervisory Responsibilities:

Oversee the daily functions of the designated office while assisting with both clinical and administrative tasks. Mentor and train newly appointed Office Managers/Coordinators. Implement operational improvements within the assigned offices.

General Overview:

Provide leadership and support to staff while serving as a liaison to the administration.

Work under the guidance of the Human Resources Manager with indirect reporting to the Physician in the designated practice/office.

Key Responsibilities:

Examples of Essential Duties:

Delegate tasks as needed and ensure staff members fulfill their responsibilities effectively. Communicate recommendations for improvements to the physician. Complete necessary payroll documentation and manage overtime or PTO requests. Maintain effective communication with physicians and staff, keeping them informed of relevant issues. Participate in medical office manager meetings. Foster positive relationships with patients, addressing and resolving any complaints or concerns. Ensure the availability of necessary equipment and supplies. Assist physicians with patient care, including minor procedures and preparing patients for examinations. Maintain cleanliness and readiness of examination rooms. Prepare patients for physician assessments, including taking histories and vital signs. Assist with cognitive testing as required. Perform various clerical tasks such as answering phones and scheduling appointments. Ensure proper sterilization and preparation of instruments. Process prescription refills as directed by the physician. Act as a liaison with the administration. Conduct clinical and/or clerical tasks for the physician.

Other Essential Duties May Include (but are not limited to):

Complete medical coding and manage collections. Follow up on lab results and imaging. Administer injections as required. Perform additional duties as assigned.

Required Knowledge, Skills & Abilities:

Mandatory:

Prior experience in a medical office setting is required.

Must adhere to and ensure compliance with clinic policies and regulatory standards.

Assist in the recruitment, retention, and training of staff.

Exhibit flexibility in adapting to expanded roles.

Certification or Registration as a Medical Assistant (CMA/RMA) is required.

Compliance with all Toledo Clinic policies and procedures is necessary.

This position necessitates travel to various office locations.

Education:

A high school diploma or GED is required.

A Medical Assisting degree or diploma from an accredited institution is mandatory.
