We are seeking a highly skilled and experienced Program Specialist to join our team at the Veterans Health Administration. As an Executive Support specialist, you will provide administrative and technical support to the Associate Director with Patient Care Services, ensuring the smooth operation of the office and the delivery of high-quality patient care services.
Key Responsibilities- Provide executive-level administrative support to the Associate Director, including scheduling appointments, coordinating meetings, and preparing correspondence.
- Assist in the development and implementation of administrative policies and procedures, ensuring compliance with regulatory requirements.
- Coordinate and track service deliverables, making assignments to subject matter experts and compiling minutes for a consolidated response.
- Review and maintain administrative processes, procedures, and policies, consulting with members of the organization to ensure effective administration of regulations and policies.
- Exercise control over the Associate Director's appointments, establishing priorities and setting up, rearranging, and coordinating meetings with staff offices.
- Maintain a calendar of future events for up to 12 months, scheduling briefings and updating the calendar as required.
- Coordinate conferences, major inspections, visits by high-ranking officials, and other information that may impact scheduling appointments and activities for the Associate Director.
- Establish priorities, schedules, reschedules, or refuses appointments, accepts or declines invitations to meetings, and arranges for representation by a subordinate official when desirable.
- Review communications and drafts standard paragraphs and form letters, developing internal routing and flow patterns for communications.
- Maintain timecards, initiate personnel actions, and ensure timely completion of personnel actions for the supervisor's subordinate staff.
- Secure, assemble, and summarize information from files, documents, and memoranda, organizing the information and drafting reports and highlighting key points for briefing the Associate Director.
- U.S. citizenship is required.
- Selective Service Registration is required for males born after December 31, 1959.
- You may be required to serve a probationary period.
- Subject to background/security investigation.
- Selected applicants will be required to complete an online onboarding process.
- Participation in the seasonal influenza vaccination program is a requirement for all Department of Veterans Affairs Health Care Personnel (HCP).
- Participation in the Coronavirus Disease 2019 (COVID-19) vaccination program is a requirement for all Veterans Health Administration Health Care Personnel (HCP).
To qualify for this position, applicants must meet all requirements by the closing date of this announcement. You may qualify based on your experience and/or education as described below:
GS-07- Education and/or experience:
- Education: 1 full year of graduate-level education or superior academic achievement.
- Experience: 1 year at the next lower grade GS-5 level.
- Education and/or experience:
- Education: Master's or equivalent graduate degree or 2 full years of progressively higher-level graduate education leading to such a degree or LL.B. or J.D., if related.
- Experience: 1 full year of specialized experience equivalent to the GS-07 grade level.
