Job Title: Human Resources/ Business Administrative Assistant

Job Summary:
As a Human Resources/ Business Administrative Assistant, you will provide critical support to management-level staff and perform a variety of tasks to ensure the smooth operation of our HR and business functions.

Duties & Responsibilities:
  • Respond to employee and client inquiries, providing accurate and timely information using available resources and following up on calls as necessary.
  • Support all HR and business administrative tasks, including payroll and employee benefits management.
  • Assist with updating job requirements and job descriptions for all positions in accordance with HR objectives.
  • Request Certificate of Insurance for various clients.
  • Coordinate staffing and recruitment processes, including scheduling interviews and assisting recruiters with job postings.
  • Perform onboarding of new employees, including orientation and training.
  • Answer telephone calls and provide information and assistance or transfer calls to other employees as appropriate.
  • Confirm scheduled applicant and candidate interviews.
  • Schedule Zoom and in-person interviews.
  • Assist recruiters in processing received resumes and posting job ads on careers pages.
  • Serve as a contact for timecard needs, training employees and supervisors on how to use the timekeeping system.
  • Screen, direct, and take accurate messages for management and staff in a professional manner.
  • Help organize and manage new employee orientation, on-boarding, and training programs.
  • Respond to employees' questions and provide requested information.
  • Provide administrative support and other duties as assigned.
Skills and Qualifications:
  • Bachelor's degree in Human Resources or a related field.
  • Previous working experience as an HR assistant or coordinator for at least one year.
  • Ability to effectively use computer software, including Microsoft Outlook, Word, Excel, and HR software.
  • Knowledge of HR software (HRIS or HRMS and Recruitment Marketing platforms).
  • Familiarity with labor laws.
  • Excellent organizational and time-management skills.
  • Act as a reliable and supportive team member.
  • Excellent communications and interpersonal skills.
  • Data-driven mindset.
  • Experience with recruitment marketing.
