Job Overview

Position Title: Clinical Services Support

Role Summary: The Clinical Services Support role is essential in maintaining a welcoming and efficient environment at the clinic's front desk and reception area.

Location: Primarily at the West St Paul Clinic, with potential support for additional clinics in the surrounding area.

Reporting Structure: This position reports directly to the Clinic Director.

Key Responsibilities:

  • Ensure a friendly and efficient atmosphere at the reception area, greeting patients and visitors with warmth and respect.
  • Maintain an organized and clean reception space.
  • Manage therapists' schedules by scheduling, canceling, and rescheduling patient appointments, while notifying relevant staff of patient arrivals or changes.
  • Direct incoming calls to the appropriate personnel or department.
  • Facilitate walk-in patient registration and accurately enter necessary information into the clinic's electronic system.
  • Perform precise data entry and ensure all required forms are completed for billing and treatment authorization.
  • Maintain proper organization of patient charts and conduct regular audits.
  • Assist therapists with patient care tasks, including preparing treatment rooms and equipment, cleaning post-visit, and managing laundry duties.
  • Oversee clinic opening and closing procedures as needed.
  • Handle insurance-related tasks, including collecting insurance information, obtaining authorizations, and managing co-pays.
  • Coordinate daily preparation of patient charts and follow-up communications.
  • Support team members in their responsibilities to enhance overall clinic efficiency and service quality.

Additional Information: This position is primarily based at the West St Paul clinic, with flexibility to assist other locations as required.
