Job Summary:

The Outpatient Administrative Specialist will oversee the management of new patient referrals and facilitate standardized patient check-in and check-out procedures, including demographic, insurance, and financial information verification, and routine form generation. Additionally, responsible for completing FMLA and Disability forms as needed, processing patient appointment referrals, and scheduling complex multiple provider appointments. Provides administrative support to ambulatory patient care functions, collects patient co-pays, manages denial processes, and assists with Front Desk tasks. Works with patients to understand insurance carrier requirements, obtains documentation, and ensures compliance with ABN's and Waiver of Liability. Answers calls, obtains insurance authorizations, and prioritizes incoming mail, faxes, and correspondence.

Key Responsibilities:
  • Manage new patient referrals and facilitate patient check-in and check-out procedures
  • Verify demographic, insurance, and financial information
  • Generate routine forms and documentation
  • Complete FMLA and Disability forms as needed
  • Process patient appointment referrals and schedule complex multiple provider appointments
  • Provide administrative support to ambulatory patient care functions
  • Collect patient co-pays and manage denial processes
  • Assist with Front Desk tasks
  • Work with patients to understand insurance carrier requirements and obtain documentation
  • Ensure compliance with ABN's and Waiver of Liability
  • Answer calls and obtain insurance authorizations
  • Prioritize incoming mail, faxes, and correspondence
Requirements:
  • Associate's degree and two (2) years of relevant patient financial/insurance services experience in a healthcare setting or equivalent combination of education and experience
  • Working knowledge of medical terminology, medical billing/insurance requirements, and medical coding
  • Excellent written and oral communication skills
  • Prior working experience in ambulatory patient care administrative functions, including obtaining referrals and insurance authorizations, managing EPIC referral work queues, and communicating with outside agencies
  • Working knowledge of computer systems such as Epic, Word, and Outlook
Work Environment:

Monday-Friday, 8:00a-6:30p, based on a 40-hour work week
