Key Responsibilities:

  • Ensure all customer contracts are fully executed before initiating project setup.
  • Monitor Change Orders, entering approved modifications into our project management system and collaborating with the Project Manager for necessary approvals.
  • Oversee project cash flow, reviewing billing discrepancies and working with Project Managers to enhance financial outcomes.
  • Participate in monthly Work In Progress (WIP) meetings, utilizing real-time data for informed decision-making.
  • Secure and input monthly cost completion data from Project Managers into the project management system.
  • Establish new projects in the system, including financial metrics as authorized by management.
  • Document project team assignments and manage administrative tasks related to Certificates of Insurance.
  • Prepare and send out monthly and weekly invoices to clients.
  • Handle AIA billing processes and ensure accurate customer billing.
  • Maintain up-to-date contact information for accounts payable representatives at client organizations.
  • Assist in managing open receivables and supplier/subcontractor invoices, ensuring accuracy before processing payments.
  • Generate purchase orders and confirm receipt of goods.
  • Administer and issue subcontracts, ensuring compliance with contractual obligations.
  • Collaborate with warehouse administrators to verify materials received.
  • Communicate effectively with Operations Managers, Project Managers, and Accounting regarding contract documents and billing modifications.
  • Support project managers as needed to ensure project success.

Qualifications:

  • Demonstrated resourcefulness and problem-solving capabilities.
  • Ability to thrive in a collaborative, matrixed environment.
  • Proficiency in various software applications, including ERP systems.
  • Minimum of two years of relevant experience.
  • Associate degree required; coursework in accounting or business is essential.
  • Bachelor's degree preferred.
  • Strong financial understanding and construction experience is advantageous.
  • Excellent written and verbal communication skills, along with strong organizational abilities.
  • Capacity to work independently, prioritize tasks, and drive projects to completion.
  • Good judgment and a strong focus on customer service.
  • Commitment to fostering a culture of teamwork, respect, and integrity.
  • Adherence to established policies and procedures.
