Overview:

The Facilities Operations Specialist plays a crucial role in supporting the management of restaurant facilities, ensuring a seamless transition from construction to operational readiness. This position requires a proactive problem solver who will oversee daily reports and action items for the Facilities Team, addressing both existing locations and new restaurant openings (NROs) related to facility concerns. The specialist will also maintain the Computerized Maintenance Management System (CMMS) and generate necessary reports and presentations.

Key Responsibilities:

  • Effectively manage repairs and maintenance of restaurant facilities to align with the company's strategic growth objectives.
  • Assist in organizing schedules, maintaining records, and facilitating communication between management, vendors, landlords, and local authorities.
  • Coordinate and participate in meetings with vendors, clients, and internal departments, ensuring follow-up on action items and decisions.
  • Support the Director of Facilities in managing vendor contracts, Requests for Information (RFIs), and Requests for Proposal (RFPs).
  • Input new locations and keep updates current within Corrigo and other internal systems.
  • Maintain accurate personnel records, including updates for Area Leaders and Regional Leaders in Service Channel.
  • Onboard new vendors, ensuring all required information is submitted and set up for invoice processing.
  • Assist with operational controls, including cost reporting, scheduling, and vendor progress tracking.
  • Ensure that all existing vendors keep their information current, including Certificates of Insurance (COI) and rates.
  • Update and manage assets in Corrigo, including new locations, remodels, and closures.
  • Maintain the Preventive Maintenance (PM) module for all PMs.
  • Resolve any invoice discrepancies identified in the weekly EDI report.
  • Input standard work orders for NROs and PMs.
  • Review and ensure accurate processing of invoices for all capital expenditure work orders.
  • Provide administrative support for the facilities team and vendors.
  • Foster a culture of rapid response and high-quality customer service for restaurant managers and the Facilities Specialist Team.
  • Analyze and re-categorize work orders as necessary.
  • Support the Facilities team in managing timelines and multiple queues effectively.
  • Identify and address issues within the work order tracking platform.
  • Train Operations teams on utilizing Corrigo and other platforms for efficient work order execution.
  • Schedule and coordinate preventive maintenance, new store walkthroughs, and other necessary meetings.
  • Generate reports from Corrigo to identify and track trends for Facilities Management to address.

Qualifications:

  • 2-4 years of experience in restaurant facility management, ideally in a Facilities Coordinator role.
  • Strong communication skills with the ability to engage effectively with internal partners, contractors, landlords, and third-party vendors.
  • Self-motivated with a keen attention to detail and excellent organizational abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and management tools.
  • Experience with CMMS systems such as Service Channel, Ecotrak, or Corrigo.
  • Exceptional oral and written communication skills, capable of working independently and collaboratively.

Compensation:
USD $80,000.00 - $85,000.00 /Yr.
