Job Description

We are seeking a highly organized, proactive, and reliable Personal Assistant to support the owner and directors in their day-to-day responsibilities. As a key member of our team, you will play a crucial role in assisting with administrative, operational, and personal tasks to ensure the efficient management of the daycare.

Key Responsibilities

  • Manage and organize the owner's and directors' schedules, including arranging meetings, appointments, and travel.
  • Coordinate communication between the owner, directors, staff, parents, and external partners.
  • Assist with the preparation of reports, presentations, and other documents as needed.
  • Handle confidential information with the utmost discretion and professionalism.
  • Manage day-to-day administrative tasks such as filing, data entry, and responding to emails.
  • Assist with the planning and coordination of events, both on and off-site.
  • Perform personal errands for the owner and directors as needed.
  • Liaise with vendors and service providers to ensure the smooth operation of the daycare.
  • Support the directors with recruitment processes, including scheduling interviews and onboarding new staff.
  • Act as a point of contact for parents, addressing inquiries and escalating issues when necessary.
  • Maintain office supplies and ensure that the facility is well-stocked and organized.

Qualifications

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.
  • Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Ability to work independently and take initiative.
  • Strong problem-solving skills and a proactive approach to tasks.
  • Flexibility to adapt to the changing needs of the daycare.
  • Familiarity with early childhood education or daycare operations is a plus.
  • Must be comfortable working in a fast-paced, dynamic environment.
