Office Manager

Salary Range: $65,876.16 - $80,661.12 Annually
In this role, you will be responsible for coordinating complex administrative tasks, providing high-level support to City Council members, and managing office operations. Your duties will include preparing meeting materials, coordinating travel arrangements, handling correspondence, and maintaining accurate records.
About the Role:
As an Administrative Support Specialist, you will work closely with city officials, staff, and the public to achieve our goals. You will be responsible for:
Key Responsibilities:
- Coordinate and prepare City Council Work Session meetings, ensuring timely and efficient execution.
- Prepare, transport, and set up necessary materials for all weekly and special City Council meetings.
- Attend evening, weekend, and special City Council meetings as required.
- Respond to inquiries, complaints, and general correspondence from citizens, community groups, elected officials, and other individuals via various channels.
- Investigate and act on inquiries, complaints, or correspondence, forwarding relevant information to City Council, the Mayor's Office, or other departments as needed.
- Conduct research and compile data for document preparation, computer entry, and project coordination.
- Interpret policies, rules, and procedures, relaying information to others using judgment, tact, and sensitivity.
- Plan and arrange attendance for conferences, dinners, seminars, events, and travel for City Council members, working closely with the Mayor's Office administrative staff.
- Maintain the City Council budget, perform bookkeeping and financial tasks, pay invoices, and track expenditures.
- Purchase office and meeting supplies while monitoring the City Council budget.
- Establish and maintain office operations procedures, making recommendations for improvements to workflow and office efficiency.
Requirements:
- Bachelor's degree from an accredited college or university and a minimum of two years of progressively responsible administrative support experience.
- At least sixty semester hours of post-high school coursework at an accredited college or university and a minimum of three years of professional, progressively responsible administrative support experience.
- At least thirty semester hours of post-high school coursework at an accredited college or university and a minimum of four years of progressively responsible administrative support experience.
- A high school diploma or equivalent and a minimum of six years of progressively responsible, high-level professional administrative support experience.
