Job Summary:

A Patient Service Representative is the first point of contact between patients and our clinics and physicians. The Patient Service Representative follows Madison Medical standards of practice, policies and procedures and supports the philosophy by incorporating them into the clinic.

Key Responsibilities:
  • Patient Greeting and Check-in: Greet patients and visitors in a prompt, courteous, and helpful manner, perform patient check-in and check-out processes.
  • Phone and Communication: Answer incoming phone calls, screen calls, and take messages and/or facilitate completion of call. Perform reminder calls prior to appointments.
  • Scheduling and Registration: Schedule patients according to provider protocol. Complete patient registration and checks insurance eligibility for every patient to ensure payer information is correct and current.
  • Financial Transactions: Collect co-pays and prior balances from patients at the time of their visit.
  • Chart Preparation: Prepare charts for patient visits.
  • Insurance Processing: Process insurance (wrong insurance, no insurance) reports monthly.
  • Work Area Maintenance: Maintain work area and lobby in a neat and orderly manner.
  • Collaboration and Communication: Work with physicians and other staff to acquire additional information to achieve document completeness. Demonstrate professionalism and excellent customer service, communication, and patient assistance both in person and on the phone.
  • Additional Duties: Perform other duties as assigned.
Key Qualifications and Characteristics:
  • Education: High School Diploma or GED
  • Technical Skills: Strong data entry skills and ability to work with computer applications
  • Organizational Skills: Organized with a strong attention to detail in a fast-paced environment
  • Communication Skills: Strong and comfortable communicating with patients, peers, and physicians
  • Teamwork and Confidentiality: Demonstrated ability to work well both independently and with co-workers in a team and with confidential information
