We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at the Confederated Tribes and Bands of the Yakama Nation. This role will provide administrative support to the Library department, ensuring the efficient and effective functioning of the work unit.
Key Responsibilities- Provide program clerical and bookkeeping support, recordkeeping, file maintenance, and mail processing for the Library department.
- Maintain a comprehensive record management system, ensuring security and accessible retrieval of records.
- Prepare financial documents, including purchase orders, journal entries, budget modifications, and payroll action forms.
- Monitor and reconcile program accounts, comparing data with reports from Central Accounting and Grants and Contracts.
- Assist with report preparation and gathering data, communicating between departments to resolve daily administrative operational problems.
- Mentor on-the-job placements to help make them employable.
- Establish and maintain effective working relationships with colleagues and stakeholders.
- High school diploma or equivalent and three years of work experience comparable to an Office Assistant V or Bookkeeper IV.
- Ability to obtain a First Aid/CPR card and pass a pre-employment background check.
- Must have a Washington State Driver's License and be able to obtain a Yakama Nation Driver's Permit.
- Required to pass a pre-employment drug test.
- Knowledge of tribal government infrastructure and inter-workings.
- Knowledge of Yakama culture, traditions, and history.
- Knowledge of bookkeeping principles and practices, grant writing procedures, and purchasing policies.
- Ability to write clear and concise reports, memoranda, directives, and letters using proper punctuation and grammar.
