Job Summary

The Facilities Manager is a critical role responsible for overseeing all existing facility-related activities and de novo site expansions. This position requires a strategic thinker who can optimize space and equipment usage while reducing operational costs.

Key Responsibilities

  • Compliance and Confidentiality

Ensure strict adherence to company policies, procedures, and confidentiality standards.

Site Expansion and Optimization

Identify and secure new expansion facilities that meet the company's growth needs.

Space and Equipment Management

Optimize the use of space and equipment while reducing operational costs.

Installation and Maintenance

Plan and coordinate all installations, including IT, supplies, utilities, and communications.

Inventory Management

Manage the upkeep of equipment and supplies to meet safety and electrical requirements.

Vendor and Contractor Management

Coordinate with building facilities staff, external contractors, and vendors.

Liability Coverage

Work with the CHRO to ensure facilities are included in corporate liability coverage.

Utilities Management

Review utilities consumption and strive to minimize costs.

Office Space Allocation

Allocate office space according to needs.

Space and Facilities Forecasting

Perform space and facilities forecasting.

Lease Management

Work closely with management on lease management tracking.

Record Keeping

Keep detailed records of space planning, logistics, and budgets.

Qualification Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

Education and Experience

  • Bachelor's degree or equivalent experience, preferred.
  • 10 years' experience as a Facilities Manager or equivalent.
  • 10 years' experience managing multi-site organizations.
  • 5-10 years' experience in space planning, required.
  • Proven leadership abilities.
  • Well-versed in technical/engineering operations and facilities best practices.
  • Knowledge of basic finance/budget principles.
  • Excellent analytic thinking and troubleshooting skills.
  • Strong attention to detail.
  • Proficient in Microsoft Visio, Word, Excel, and PDF.
  • Proficient in project management software, such as Microsoft Project or Wrike.
  • A proven ability to constantly prioritize multiple projects in a rapidly changing environment.
  • Must be comfortable with a rapid-growth company.

Travel Requirements

Regular rotation to various multi-state clinic sites estimated at 50% is expected.
