About the Role

The National Geographic Society is seeking a highly skilled Event Production Manager to join our Global Special Events team. As a key member of our team, you will be responsible for the day-to-day project management of our Signature Events portfolio, working closely with our agency partners and coordinating with stakeholders from across the Society to produce our largest events and experiences.

Key Responsibilities

  • Project manage logistics for 2-3 multi-day, multi-venue hybrid summits and events, including Storytellers Summit, Explorers Festival, and International Explorers Festival annually.
  • Manage the planning of two employee-facing events, including the NGS Winter Celebration and Collaboration Week, our annual employee conference.
  • Coordinate logistics for events, including venue, hotel, AV, catering, décor, environmental fabrication, and printing.
  • Manage the relationship with 3rd party production companies and agency partners to facilitate successful event execution.
  • Develop plans and processes that support project, department, and organizational goals and practices.
  • Manage budgets, focusing on clear tracking, efficient spending, and thoughtful allocation of resources.
  • Work with legal and finance to process contracts and payments for vendors as needed.
  • Manage content development and approvals of creative assets.
  • Create staffing plans, volunteer schedules, and training programs to clearly engage staff involvement in Signature events effectively.
  • Maintain thorough and detailed documentation and planning documents, including budgets, production timelines, and operations manuals.
  • Manage hotel room blocks and support travel needs for Explorers, speakers, and VIPs.
  • Source vendors and negotiate contracts for new and existing vendor partners.
  • Conduct after-action reporting, including post-event surveys, budget reconciliation, recap decks/videos, and data-driven recommendations for future events.

About You

We are looking for a highly organized and detail-oriented individual with excellent communication and project management skills. You should have a proven track record of managing event logistics, including AV, transportation, hotel room blocks, catering, and agency partnerships for large-scale convenings (500+ attendees). Experience producing a range of event types for different audience types is also essential. Fluency in sustainability and accessibility practices for events is a plus.
