Role Overview:
The Service Operations Specialist is responsible for managing and coordinating service-related tasks to ensure seamless execution of service work orders.
Key Responsibilities:
- Efficiently process and schedule new service work orders utilizing the company's order management system.
- Prepare and manage service quotes, orders, and tickets.
- Handle sales orders and maintain accurate logs of technician check-ins and check-outs.
- Coordinate shipping of products to align with service schedules.
- Collaborate with field service engineers, third-party technicians, general contractors, electricians, and tile vendors to fulfill service work orders.
- Review technician service documentation to ensure completion and accuracy.
- Communicate with account managers to amend purchase orders and not-to-exceed (NTE) limits as necessary.
- Update the company's ERP system for each device replaced.
- Extract data from client monitoring systems.
- Follow up on service work orders to ensure they remain on schedule.
- Process return labels and RMAs for unused products.
- Verify vendor invoices for correctness.
- Post new service orders in the order management system upon job completion.
- Attach necessary documents and process service orders for invoicing.
- Create and monitor reports as required.
Required Skills:
- Proficient in ERP systems, service administration, RMA processes, and order management.
- Experience in construction, technical, or manufacturing environments.
- Strong knowledge of Microsoft Dynamics and Microsoft Office.
- Excellent customer service skills, with the ability to interact positively with field technicians.
- Intermediate level of experience in service coordination or dispatch.
