The Mechanical Operations Manager will be responsible for the supervision, coordination, and administration of mechanical projects that necessitate a consistent onsite presence, substantial subcontracted work, and collaboration with General Contractors. The goal is to manage the project lifecycle effectively, ensuring profitable outcomes and high-quality execution to foster long-term customer relationships.
Key Responsibilities:
Client Relations: Respond promptly to client inquiries and resolve issues efficiently while building and maintaining trust.
- Serve as the primary onsite contact for project activities, coordinating with General Contractors, subcontractors, and operational teams as necessary.
- Notify the Service Manager of any client requests or satisfaction concerns that require escalation.
- Maintain clear and timely communication with internal stakeholders (sales representatives, service teams, finance, etc.) to ensure a seamless project experience.
Communication and Interpersonal Skills:
- Effectively document and communicate project status (internally and externally), required assistance, and significant client interactions.
- Be accessible to team members and clients throughout the project via onsite visits, phone, text, and email.
- Coordinate with the Service Manager regarding matters outside the project scope and potential change orders.
- Oversee onsite coordination for subcontractors, ensuring compliance with project scope, collaboration with other trades, and adherence to safety protocols.
- Actively engage in regular project meetings from initiation to completion, providing updates on progress, client feedback, and operational matters.
- Foster strong working relationships with management, supervisors, field personnel, subcontractors, and administrative staff.
Technical Expertise and Knowledge:
- Under the guidance of the Service Manager, ensure the timely and budget-compliant completion of all project phases.
- Establish job priorities and plan project activities in collaboration with the Service Manager and Project Coordinator to meet critical deadlines.
- Manage project costs effectively by overseeing materials, labor, tools, and subcontractors.
- Collaborate with General Contractors to ensure all project timelines and milestones are met.
- Handle all administrative tasks related to the project, including RFIs, change orders, billing, and lien releases.
- Monitor project timelines, proactively identify potential issues, and communicate solutions to all relevant parties.
- Possess a solid understanding of mechanical systems, building control systems, and applicable codes and standards.
Professional Development:
- Assist the Service Manager with budget management for labor, subcontracting, and material procurement.
- Stay updated on technical knowledge related to equipment and industry practices.
- Become familiar with new products and techniques as they emerge.
- Engage with technical organizations to enhance professional knowledge.
Team Development:
- Support the Service Manager in ensuring the technical capabilities of the field team align with contractual obligations. Identify and recommend training opportunities for skill enhancement.
- Promote professionalism and a strong work ethic to attract high-quality talent. Maintain a network of industry contacts.
- Ensure compliance with all safety regulations and company policies, including OSHA standards and state labor guidelines.
Qualifications:
- At least 7 years of experience in commercial HVAC project management or installation.
- Completion of a diploma or certification from an accredited HVAC trade school, or equivalent experience.
- Strong knowledge of commercial mechanical systems and installation practices to ensure timely execution with minimal disruption.
- Ability to interpret construction plans and blueprints.
- Proficient in Microsoft Office applications, including Word, Excel, and project scheduling software.
- Universal EPA Certification.
- Experience managing subcontractors and understanding General Contractor relationships.
- Must be able to pass random drug tests as per company policy.
- Possess a valid driver's license and maintain a safe driving record as required by company insurance policies.
