Position: Guest Services Coordinator/Night Auditor

Reports To: Front Desk Manager / General Manager

Position Summary:

The Guest Services Coordinator/Night Auditor serves as the primary point of contact for guests during their stay, ensuring a seamless experience from check-in to check-out. This role involves determining reservation statuses, managing guest registrations, and accommodating special requests to enhance guest satisfaction.

Key Responsibilities:

  • Register guests and assign rooms, accommodating special requests whenever feasible.
  • Assist with pre-registration and room blocking for reservations.
  • Adhere to established credit and cash handling policies, ensuring compliance with financial procedures.
  • Maintain an understanding of room statuses and tracking.
  • Possess knowledge of room types, locations, and associated rates.
  • Utilize sales techniques to present options and alternatives to guests, assisting them in making informed choices.
  • Promote hotel services and amenities through suggestive selling.
  • Coordinate with housekeeping to keep room status updated, notifying them of checkouts, late checkouts, early check-ins, and special requests.
  • Handle same-day and future reservations, understanding cancellation policies.
  • Manage guest room key storage and supervise access to safe deposit boxes.
  • Process guest check-outs and perform cashiering tasks, including posting charges and managing currency exchanges.
  • Communicate services and amenities effectively to guests.
  • Ensure proper handling of mail, packages, and messages for guests.
  • Maintain cleanliness and organization of the front desk area.
  • Stay informed about daily activities and meetings within the hotel.
  • Report any unusual occurrences or requests to management.
  • Understand and follow safety and emergency procedures.

Qualifications:

Education: High school diploma or equivalent. Proficiency in the primary language used in the workplace and by guests is essential.

Experience: Previous experience in hospitality, particularly with IHG hotels, is required. Familiarity with Opera PMS is essential.

Physical Requirements: The role involves various physical activities, including standing, walking, and the ability to lift up to 40 pounds when necessary.
