Job Overview

The Records Management and Policy Procedures Supervisor is responsible for overseeing a range of administrative functions that require varying levels of complexity and accountability. This role involves the planning, coordination, research, and administration of all projects associated with these units. Additionally, the Supervisor will assist with specific tasks related to the Data Governance and Data Cleansing Unit as necessary.

Key Responsibilities

Under general supervision, with significant autonomy for independent judgment, the Supervisor will perform essential supervisory duties and complex administrative tasks within the work area, including but not limited to:

Records Management:

  • Supervising and coordinating the daily activities of team members.
  • Documenting procedures and training materials for staff.
  • Planning, scheduling, and assigning work tasks to achieve established milestones.
  • Occasionally performing the duties of subordinate roles as required.
  • Preparing weekly executive updates and quarterly reports on all projects, including any audit reporting updates.
  • Reviewing individual and project reports utilized for reporting purposes.

Policy and Procedures:

  • Conducting research to gather insights into business processes to support governance of policy and procedure documentation.
  • Coordinating and updating policies through the Policy Governance Committee.
  • Tracking modernization procedures and exception resolutions.
  • Developing and maintaining non-modernization documents.
  • Facilitating meetings with executive management, business and technical stakeholders, end users, business analysts, architects, and developers.
  • Preparing weekly executive updates and quarterly reports on all projects, including any audit reporting updates.

Data Governance/Data Cleansing:

  • Defining and approving business terms.
  • Supporting newsletter publication efforts.
  • Possessing a high-level understanding of data governance objectives and tasks to aid in reporting.

Qualifications

1. A bachelor's degree from an accredited institution, supplemented by 12 credits in mathematics, statistics, accounting, or actuarial science, along with four years of relevant full-time experience in implementing retirement plan provisions involving mathematical, statistical, actuarial, or accounting computations, including 18 months in a supervisory, managerial, or executive capacity.

2. An associate degree or 60 credits from an accredited institution, including 12 credits in mathematics, statistics, accounting, or actuarial science, and six years of relevant full-time experience as described above.

3. Equivalent education and/or experience as outlined in points 1 or 2, with all candidates required to have 60 credits from an accredited institution, including 12 credits in mathematics, statistics, accounting, or actuarial science, and 18 months of supervisory, administrative, managerial, or executive experience as described in point 1.
