Front Desk Team Coordinator

We are seeking a highly skilled Clinical Practice Supervisor to join our team at Andrus Childrens Center. As a key member of our front desk team, you will be responsible for driving excellent customer service, streamlining workflows, and maintaining high standards of performance across various clinic sites.
Key Responsibilities:
- Promoting a culture of excellence by driving exceptional customer service and adherence to established workflows.
- Designing and delivering comprehensive training programs to enhance staff proficiency and consistency.
- Maintaining regular site visits to monitor operations, address issues, and foster a positive work environment.
- Overseeing client check-in processes to ensure accuracy in paperwork, demographic verification, and insurance/self-pay collections.
- Collaborating with the Centralized Scheduling Team to optimize clinician schedules, minimize no-shows, and enhance productivity.
- Ensuring compliance with Medicaid, commercial insurance, and OMH regulations regarding insurance eligibility verification.
- Producing reports on key metrics such as insurance compliance and co-pay collections for management review.
- Maintaining confidentiality and adhering to HIPAA and other regulatory requirements.
- Managing inventory and sourcing supplies from campus and off-site vendors for both clinics.
- Ensuring emergency preparedness and drills align with relevant regulations.
- Utilizing the organization's EHR system (SmartCare preferred) to support operational activities and ensure staff proficiency in its use.
Requirements:
- A minimum of two years of supervisory experience in a clinical or healthcare setting, or three years of related experience without direct supervisory responsibilities.
- Proficiency in computer systems, including EHR experience and Microsoft Office Suite (Excel, Word, Outlook).
- Familiarity with Medicaid and commercial insurance claim processes, OMH regulations, and HIPAA standards.
- Excellent organizational, problem-solving, and customer service skills, with the ability to improve complex systems.
- Demonstrated strong written and oral communication skills, with the capacity to engage diverse stakeholders effectively.
- A valid driver's license in good standing.
Estimated Salary: $70,000 - $90,000 per year.
