CLA (CliftonLarsonAllen) Search has been engaged by the Metals Service Center Institute to find an Administrative Coordinator to support their executive team. The Metals Service Center Institute (MSCI) serves as a trade association representing the industrial metals sector, primarily encompassing distributors and processors of steel, aluminum, and various other industrial metals. The organization offers a wide range of services to its members, including industry analysis, educational programs, and advocacy efforts. Additionally, MSCI organizes events and conferences to facilitate networking and the exchange of best practices among its members.
The Administrative Coordinator to the President and CEO acts as the main liaison between members, staff, and the President & CEO. This role involves managing all facets of the President & CEO's schedule, travel arrangements, and expense documentation.
Key Responsibilities:
- Deliver high-level administrative assistance to the President & CEO.
- Serve as the primary contact for daily operational and administrative matters.
- Draft written communications, oversee incoming and outgoing correspondence, and maintain both electronic and physical filing systems, including expense reports and presentations.
- Coordinate travel logistics and manage the President & CEO's calendar, which includes intricate travel plans and scheduling of internal and external meetings.
- Prepare comprehensive itineraries detailing transportation, accommodation, meeting venues, and directions as necessary.
- Monitor the President & CEO's messages across various platforms on a daily basis.
- Schedule all meetings for the Board of Directors, committees, and other stakeholders, ensuring all materials are prepared for review.
- Facilitate arrangements for in-person meetings, including hotel bookings and catering services.
- Collaborate with relevant personnel to address any audio-visual needs for presentations.
- Maintain and update the iMIS database to ensure accurate records of contacts and calendar events.
- Contribute to the preparation of managerial and financial reports on a monthly, quarterly, and annual basis.
- Engage regularly with senior management from member organizations and external parties.
- Support the recruitment and retention of members by promoting MSCI's value proposition.
- Assist in the upkeep of MSCI's office environment.
Qualifications:
- A Bachelor's degree or equivalent experience is preferred.
- 2 to 3 years of experience in general office support, including proficiency in software applications and data management.
- Familiarity with the metals industry is advantageous.
- Creative skills in graphic design are highly valued.
- Strong proficiency in MS Office and Adobe products, with a willingness to learn new technologies.
- Demonstrated customer service skills, problem-solving abilities, and capacity to manage multiple priorities effectively.
- Excellent communication and interpersonal skills are essential.
- Strong organizational skills with a keen attention to detail are required.
- Ability to engage with a diverse range of members and stakeholders is necessary.
