Job Summary

We are seeking a highly skilled and detail-oriented Practice Assistant II to join our team at Brigham & Women's Hospital (BWH). As a key member of our administrative staff, you will provide exceptional support to our physicians and patients, ensuring seamless operations and excellent patient care.

Key Responsibilities
  • Provide administrative support to physicians and staff, including scheduling appointments, managing patient records, and coordinating clinical activities.
  • Answer patient calls, respond to inquiries, and resolve issues in a professional and courteous manner.
  • Page physicians with medical questions from patients, adhering to established protocols.
  • Schedule patients for outpatient clinic appointments, ensuring timely and efficient service.
  • Coordinate chest x-rays and chest CT scans, as well as other radiology testing, in accordance with physician directions.
  • Communicate appointment and imaging information to patients, ensuring clear and concise communication.
  • Utilize knowledge of HMOs, managed care, and third-party insurers to troubleshoot insurance issues.
  • Adhere to Joint Commission and Department of Public Health regulations, as well as hospital and departmental policies.
  • Provide cross-training to support other scheduling teams as needed.
Requirements
  • High school diploma or GED required; post-high school education preferred.
  • Minimum one year of applicable work experience required.
  • Additional training in office systems preferred.
Skills and Abilities
  • Knowledge of practice operations and standards.
  • Understanding of procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to use phone system, answer and screen calls, and provide routine information.
  • Ability to interpret information, answer routine questions, and communicate in a professional and courteous manner.
  • Ability to manage work processes, sort and alphabetize, and manage multiple tasks effectively.
  • Ability to correspond and communicate with others clearly and effectively in writing.
  • Basic understanding of medical terminology, insurance types, and referral processes.
  • Knowledgeable and compliant with hospital, State, and Federal requirements, including policy and procedures with The Joint Commission and HIPAA.
Working Conditions

This role is based in a hospital-based ambulatory practice, with normal patient environments and some exposure to communicable diseases, unpleasant odors, needles, and blood products.
