Job Summary

MacAllister Rentals is seeking a highly skilled and detail-oriented Rental Services Coordinator to join our team. As a key member of our Rental Services Division, you will be responsible for assisting with processing warranty and customer damage claims, as well as coordinating service calls and managing warranty information.

Key Responsibilities
  • Warranty and Customer Claims Processing: Assist with processing warranty and customer damage claims, including registering extended coverage, tracking premium expenses, and entering warranty type codes.
  • Service Call Coordination: Coordinate service calls for Reith Riley and Norfolk Southern, ensuring timely and efficient resolution of issues.
  • Warranty Information Management: Research and validate warranty information for each machine in manufacturers' warranty systems, ensuring accuracy and compliance.
  • Invoice and Claim Management: Invoice and claim work orders in manufacturers' warranty systems, generating invoices for manufacturers and charging remaining amounts to dealer warranty accounts.
  • Customer Damage Documentation: Document customer damage with details and photos, updating information in L Share.
  • Parts Tracking and Recovery: Track parts for warranty returns, ensuring timely payment and recovery.
  • PSP and PIP Management: Monitor PSP and PIP, ensuring completion before expiration dates for MacAllister-owned machines and customer-owned machines.
  • Customer Communication: Coordinate customer damage process, informing appropriate individuals and keeping them updated throughout the process.
  • Quote Development: Develop quotes for damage, including parts and labor costs.
  • Manual Organization: Organize and update safety and operator manuals housed at the West Washington Street location.
  • Special Assignments: Complete special assignments or projects from manager on a timely basis.
Requirements
  • Education: High school education or equivalent.
  • Experience: 3 years' experience with equipment, preferably with a rental company or Caterpillar, and/or in a position dealing with warranty and/or customer damage situations.
  • Skills: Strong decision-making skills, good creative thinking and goal-setting skills, great problem-solving skills, and ability to interpret and apply policies, procedures, and guidelines.
  • Knowledge: Strong understanding of warranty administration, ability to inspect machines and components, and ability to navigate and maneuver in various locations.
  • Computer Skills: Great computer skills, including experience using Microsoft Office and moderate experience using database systems.
  • Communication Skills: Good oral and written communication skills, responding promptly, thoroughly, and professionally to requests.
  • Work Environment: Ability to work overtime and weekends, and uphold professionalism with both internal and external customers.
