Job Overview

We are seeking a highly skilled and experienced Executive Administrative Assistant to join our team at the Federal Aviation Administration (FAA) Office of Aerospace Medicine. As an integral member of our front office, you will provide exceptional administrative support to our executives, ensuring seamless day-to-day operations.

About the Role

  • Location: Our office is located in Washington, D.C., providing a unique opportunity to be part of a dynamic team in the nation's capital.
  • Estimated Salary: $65,000 - $80,000 per annum, commensurate with experience.

Key Responsibilities:

Administrative Support
  • Provide high-level administrative support to the Executive Director and Deputy Director, including calendar management, travel arrangements, and expense reports.
  • Manage the daily schedules of AAM-1 and AAM-2, ensuring smooth meetings and appointments.
  • Maintain accurate records and files, both physical and electronic.
  • Develop and maintain internal processes and procedures for correspondence, documentation, and data management.
Note Taking and Documentation
  • Attend weekly FASMT meetings and bi-monthly Town Halls, taking detailed notes and maintaining a repository on SharePoint.
  • Prepare and update documentation using Microsoft Office Suite and Adobe Connect.
Travel and Correspondence
  • Create and manage travel authorizations and vouchers for executives and senior staff.
  • Develop and maintain a passport and visa log for AAM.
  • Prepare Visa/Passport requests for AAM-1, AAM-2, senior advisors, and chief of staff.
Other Responsibilities
  • Set up and manage ICAO accounts for AAM-1 and AAM-2.
  • Support AAM's replies to congressional inquiries.

Requirements:

  • A minimum of 10 years of relevant experience, with a focus on executive administrative support.
  • Advanced proficiency in Outlook calendar management, data analysis, and document preparation.
  • Excellent communication, organizational, and time-management skills.
  • U.S. Citizenship is required for all positions with a government clearance.

Preferred Qualifications:

  • Executive admin experience in federal agencies, preferably within the FAA.
