Job Overview

We are seeking a detail-oriented and organized Sales Support Specialist to provide essential support to our Fire Apparatus Sales team.

In this role, you will assist the Fire Apparatus Sales Representative by managing sales-related tasks, maintaining accurate data in spreadsheets, and ensuring smooth communication between internal teams and clients.

Key Responsibilities
  • Provide administrative and logistical support to the Fire Apparatus Sales Representative in managing client relationships, scheduling meetings, and following up on sales leads.
  • Maintain and update sales reports, CRM databases, and spreadsheets to track opportunities, sales performance, and customer interactions.
  • Prepare sales documentation, including quotes, proposals, and contracts, ensuring all paperwork is accurate and submitted on time.
  • Assist in organizing and prioritizing sales activities and tasks to ensure smooth workflow and timely response to fire apparatus client requests.
  • Communicate with fire department clients via phone and email to address inquiries, schedule follow-ups, and gather necessary information.
  • Collaborate with internal departments (e.g., engineering, customer service, and finance) to facilitate smooth order processing and customer onboarding for fire apparatus equipment.
  • Monitor and track sales metrics, generating regular reports to update the Fire Apparatus Sales Representative and management on performance and progress.
  • Coordinate travel arrangements and meetings for the Fire Apparatus Sales Representative as needed.
Requirements
  • Proven experience in sales support, inside sales, or administrative role, preferably in a fast-paced or technical sales environment.
  • Strong proficiency in Microsoft Excel and other spreadsheet software (e.g., Google Sheets), with the ability to create and maintain detailed reports and track sales data.
  • Excellent organizational skills, with a keen eye for detail and the ability to prioritize tasks effectively.
  • Strong communication skills, both verbal and written, with a customer-focused approach.
  • Ability to work independently and as part of a team, maintaining professionalism and confidentiality.
  • Familiarity with CRM software (e.g., Salesforce, HubSpot) is a plus.
  • Problem-solving mindset with the ability to handle multiple tasks and deadlines simultaneously.
