Job Title: Service Coordinator

Sciens Building Solutions is seeking a highly skilled Service Coordinator to join our team. As a Service Coordinator, you will play a critical role in ensuring customer satisfaction and a positive company image.

Key Responsibilities:
  • Schedule preventative maintenance inspections and emergency calls, utilizing our dispatch board to maintain zero backlogs.
  • Field customer calls, analyze issues, and determine the best course of action to handle.
  • Dispatch the proper technicians to handle emergencies and follow through to ensure resolution of all situations.
  • Generate and monitor internal and external correspondence regarding service technicians, including analyzing completed work orders for accuracy.
  • Perform accurate pricing of labor and/or materials as dictated by the contract for each customer.
  • Prepare subcontract work orders for invoicing, including test reports, deficiencies, and quotes.
  • Update and maintain all customer information in our databases, including service department inspection dates and contract information.
  • Dispatch appropriate technicians based on skill set required for each site or project.
  • Issue tools from the service cage and generate/maintain schedules on a daily/weekly/monthly basis.
  • Prepare and process work orders and invoices, when applicable, and acquire purchase orders where required.
  • Display effective communication with customers, promptly following up on inquiries and tracking special needs requests.
  • Material requisition: prepare and process accurate purchase requisitions for purchasing.
  • Complete service contract cancellation forms and submit with backup for processing.
  • Coordinate customers' service requirements with other departments, as necessary, to ensure effective customer service.
  • Provide accurate information to Accounting to ensure one-day billing processing.
Requirements:
  • High school diploma or equivalent.
  • Two to five years of experience in customer service.
  • Strong organizational skills.
  • Ability to multi-task, manage self and team.
  • Remain calm under pressure.
  • Possess sound decision-making skills and practical judgment priorities.
  • Ability to encourage and motivate people with a positive attitude.
  • Interest in helping and working with customers.
  • Computer literate: working knowledge of Microsoft Outlook, Excel, Word, and PowerPoint.
