Position Summary

As an Intellectual Property Coordinator, you will play a crucial role in delivering administrative and patent prosecution assistance to our prosecution practice group.


Work Arrangement

This role is designed for a hybrid work schedule, allowing flexibility while being part of our downtown operations.


Key Responsibilities
  • Prepare and finalize essential documents for filing provisional, non-provisional, and PCT applications.
  • Draft formal documents such as assignments, declarations, and powers of attorney, ensuring all necessary signatures are obtained.
  • Record assignments with the US Patent Office and manage the filing of declarations and power of attorney documents.
  • Assist in drafting client correspondence regarding application and patent statuses, including filing receipts and publication notices.
  • Prepare and file responses to corrected application papers and manage updates to applicants and inventors.
  • Handle responses to restriction requirements and preliminary amendments.
  • Draft office action response templates and client communication regarding office actions.
  • Prepare and file responses to office actions, including extensions of time and necessary declarations.
  • Review and manage docketing for U.S. and international deadlines, ensuring timely actions are taken.
  • Prepare information disclosure statements and associated documents.
  • Coordinate with external vendors for necessary filings with the Patent and Trademark Office.
  • Conduct research on the USPTO website and other relevant online resources.
  • Provide comprehensive support for all aspects of portfolio management.
  • Stay informed and compliant with MPEP and CFR regulations and administrative updates from the USPTO.
  • Perform conflict checks and establish new matter numbers for clients.
  • Draft new client engagement letters and conflict waiver letters.
  • Assist attorneys with time entries, expense reports, and invoice approvals.
  • Support attorneys with various administrative tasks or special projects as required.
  • Undertake additional duties as assigned.

Desired Qualifications

Experience with USPTO filings and a solid understanding of USPTO rules and practices, including docketing and prosecution requirements, is essential.

We seek a proactive self-starter with outstanding communication, writing, and organizational skills, capable of managing multiple time-sensitive tasks in a dynamic environment.

Strong computer proficiency, particularly in Microsoft Word, Excel, and Outlook, is required. Familiarity with law firm billing software and patent docketing systems is advantageous.


Education and Experience

A minimum of a High School Diploma or GED is required, along with at least three years of office or administrative experience in a professional services or legal setting. Experience in patent prosecution is highly preferred.


Work Environment

This position supports a hybrid work model, combining in-office presence with the flexibility to work remotely.
