Project Manager Job Summary

Synergy Enterprises, Inc., a woman-owned government contractor, is seeking a full-time Project Manager to oversee the efficient implementation of the 21st Century Community Learning Centers (21st CCLC) National Technical Assistance Center (NTAC) cooperative agreement. The selected candidate will collaborate with the Project Director to ensure timely completion of tasks, manage project schedules, and provide high-quality administrative support.

Key Responsibilities:
  • Collaborate with the Project Director to plan and budget for 21st CCLC NTAC activities.
  • Coordinate project schedules, timelines, and staffing availability.
  • Provide administrative support, including preparing reports, invoices, and work assignments.
  • Assist the Project Director in managing project activities, ensuring they align with the scope of work.
  • Act as a resource for project personnel, solving day-to-day challenges.
  • Develop work plans for project staff members and the client.
  • Track the budget and prepare reports required by the client.
  • Serve as the main point of contact for the project in the Project Director's absence.
Administrative and Coordination Responsibilities:
  • Field employee questions, concerns, and requests.
  • Manage the collaboration board and enter project activities and tasks on a shared site.
  • Oversee staff timelines, maintain project and training calendars, and the overall activity development timeline.
  • Record inquiries from the field and the client, create responses, and track progress via an online communication tool.
  • Provide oversight and guidance to subcontractors, consultants, and vendors, as directed by the Project Director.
  • Edit documents, develop letters to the client and stakeholders, and help assemble program materials.
  • Create charts to depict planned work and work accomplished in specified time periods.
  • Organize and store standard operating procedures, style guides, and branding guidelines, ensuring they are updated as needed.
  • Participate in monthly division meetings and grants/contracts meetings, preparing meeting materials as needed.
  • Send weekly updates about timelines to project staff members.
  • Provide on-site support for on-site trainings, conferences, events, and manage supply inventory and orders as needed.
Qualifications:
  • Bachelor's degree in education or a related field (preferred).
  • Minimum 5 years of administrative or customer service experience.
  • Minimum 5 years of project coordination and management experience (preferably with a government contractor).
  • Demonstrated experience interacting with high-level officials and clients.
  • Excellent communication skills, both spoken and written, and proofreading or copyediting experience.
  • Ability to multitask, meet deadlines, and client schedules, and take a flexible, practical approach to helping clients.
  • Self-starter with strong time management and multitasking skills.
  • Ability to work under pressure and manage several assignments with multiple and tight deadlines.
  • Proficient in Microsoft 365.
Work Environment:
  • Physical demands: occasional standing, walking, sitting, using hands to handle objects and documents, reaching with hands and arms, talking, and hearing. May occasionally lift and/or move up to 40 pounds.
  • Work environment: employees are not substantially exposed to adverse environmental conditions. The noise level in the work environment is usually moderate.
