Senior Event Coordinator, Strategic Venue Management
As a pivotal member of our team, you will be instrumental in shaping the future of our Destination Conferences through meticulous venue and space strategy. Your role will encompass ensuring that the requirements of programs, audiences, and exhibitors are met in upcoming venues, while also supporting capacity assessments, budget formulation, and exhibitor inventory management.
The ideal candidate will oversee the comprehensive processes related to exhibitor and program inventory, collaborating closely with key stakeholders to effectively manage and monitor any changes. You will lead the decision-making efforts, identifying necessary actions and, when needed, proposing and endorsing effective strategies to facilitate ongoing conference expansion.
Key Responsibilities:
- Assist Exhibitor Operations and Global Exhibitor Sales in managing inventory and developing product initiatives.
- Oversee project timelines to ensure that program frameworks and space utilization are established prior to inventory release.
- Identify essential conference characteristics in collaboration with relevant stakeholders to ensure alignment with growth objectives and budgetary constraints.
- Support the construction of the agenda framework and manage the approval process for session inventory.
- Facilitate the creation of program budgets, ensuring accuracy and ongoing updates in line with approvals.
- Assist program management teams with investment proposals aimed at conference growth and execution, including program expansion and strategic initiatives.
- Work alongside exhibitor operations, conference logistics, and program management teams to devise effective solutions for additional growth, ensuring global profit margins are upheld.
- Comprehend all exhibitor offerings and their contributions towards achieving revenue targets, while also managing the associated costs of delivering these offerings.
- Evaluate show floor capacities to ascertain optimal catering and aisle space requirements, reviewing all exhibitor deliverables and resource needs to maximize profitability and space optimization.
Qualifications:
- Preferred Bachelor's degree.
- Proven project management skills to drive initiatives and facilitate decision-making.
- Detail-oriented with a strong focus on processes.
- Analytical mindset with proficiency in data analysis using Excel.
- Exceptional communication and interpersonal skills.
- Proactive problem solver capable of driving organizational change.
- Strong presentation abilities.
- Familiarity with events is advantageous, including an understanding of floor plans and related challenges.
- Willingness to travel globally as needed to support conferences.
