Position Overview

The ideal candidate for this role is a highly organized individual with a proactive mindset, capable of managing multiple projects within a fast-paced environment. Effective communication skills are essential, as collaboration with other department members is crucial to achieving shared goals and objectives.

Key Responsibilities

  • Execute client support tasks and projects as assigned.
  • Perform administrative duties such as scanning, filing, and supporting staff and management.
  • Handle various ad-hoc administrative tasks.
  • Maintain professional communication with the internal Business Management and Tax Teams.
  • Manage emails and track tasks for the Tax department.
  • Monitor all projects and deadlines, including tax returns, extensions, estimates, year-end shareholder payroll, notices, and extended returns.
  • Document completed returns and update due dates accordingly.
  • Assist with technology setup for internal meetings.
  • Maintain the Tax Team's calendars.
  • Schedule meetings for the department and assist leadership with recording minutes.
  • Communicate updates to relevant parties and seek assistance as needed.
  • Support the department with e-file management tasks.
  • Oversee the delivery of e-file authorization forms and client signatures.
  • Assist in assembling electronic and paper tax returns, extensions, estimates, and year-end payroll.
  • Maintain a master list of client tax authority logins.
  • Manage scheduling for tax compliance using SmartSheet.
  • Coordinate with Business Management teams regarding deliverables to the Tax Team.
  • Facilitate client tax authority notices and tax return payments.
  • Assist the Senior Task Coordinator with assigned projects.

Required Skills and Qualifications

  • Proficiency in Microsoft Office Suite, including PowerPoint, Word, and Excel.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication abilities.

Educational Background

  • Ability to commute reliably to the office.
  • 3-5+ years of experience in office or client service administration or management.
  • Preferred experience in tax, public accounting, entertainment, business management, or family office sectors.
  • Bachelor's Degree in Communication, Business Management, or a related field with a strong academic record.
