The Receptionist plays a crucial role in ensuring effective communication and a welcoming environment. This position is responsible for managing incoming calls, greeting visitors, and providing essential information about the organization's services. The role also involves performing various clerical tasks to support daily operations.
Key Responsibilities:
Telephone Management (60%):
- Answer incoming calls and direct them to the appropriate personnel, ensuring a professional and courteous interaction.
- Take detailed messages when necessary and ensure timely communication of these messages.
- Greet and assist visitors, providing them with information and directing them as needed.
- Manage the sign-in process for visitors and notify relevant staff of their arrival.
Administrative Duties (40%):
- Maintain and update statistical records, ensuring accuracy and completeness.
- Organize and distribute mail, ensuring it reaches the correct recipients.
- Order and manage office supplies, maintaining adequate inventory levels.
- Assist in preparing meeting spaces, including setting up equipment and refreshments.
- Perform additional administrative tasks as required.
Additional Responsibilities:
- Ensure the reception area is tidy and presentable at all times.
- Carry out other duties as assigned by management.
Required Skills and Qualifications:
- High school diploma or equivalent.
- Previous experience in customer service or as a receptionist is preferred.
- Strong communication skills, both verbal and written.
- Ability to manage multiple tasks efficiently while maintaining a professional demeanor.
- Proficiency in using multi-line telephones and general office equipment.

- The role is primarily office-based, with a standard work environment.
