This role involves providing essential support within the Litigation, Arbitration, and Employment (LAE) practice group, ensuring comprehensive assistance to attorneys throughout the litigation lifecycle. Responsibilities span from the initial information-gathering phase through discovery and trial, culminating in the meticulous archiving of case materials. Under the guidance of supervising attorneys, daily tasks include managing correspondence and discovery processes, supporting hearings, trials, and administrative proceedings, conducting cite checks on briefs, and aiding in settlement negotiations.
The paralegal will be integral in the retrieval, assessment, and production of documents, both incoming and outgoing. Furthermore, this position will support all trial and arbitration activities, collaborating with IT and Advanced Client Data Solutions to uphold security protocols and best practices.
KEY RESPONSIBILITIES
- Draft and finalize legal documents in compliance with relevant state and federal regulations for court submission;
- Assist in the retrieval, review, organization, and production of legal documents;
- Maintain case files, correspondence, discovery materials, and research for high-volume cases;
- Conduct cite-checking and editing of legal documents;
- Manage a database of client advisories;
- Oversee document, transcript, and work product databases;
- Perform legal research and prepare concise memoranda summarizing findings;
- Organize and prepare exhibit lists and privilege logs;
- Coordinate with the Advanced Client Data Solutions team for initial case consultations, monitoring preservation, collection, processing, and production of client data;
- Work with external document and litigation vendors, ensuring adherence to strict deadlines;
- Ensure compliance of all vendors with the firm's security protocols, bidding processes, and confidentiality requirements;
- Validate data and manage systems according to standard operating procedures;
- Maintain an organized filing system for media;
- Monitor project and case statuses, providing regular updates on task completion and data delivery schedules;
- Train attorneys and staff on litigation support applications;
- Assist in trial site preparations and attend trials;
- Safeguard the confidentiality of client information;
- Encouraged to engage in the Responsible Business program.
- Perform additional duties as assigned.
REQUIRED QUALIFICATIONS
ESSENTIAL SKILLS
- Proficiency in software such as Relativity, Case Map, Case Notebook, TimeMap, Sanction, Adobe Acrobat Pro, Nuance, Opus2, LiveNote, FTP Transfer Protocol, Encryption Protocol, and Microsoft Office Suite, particularly Excel and Access;
- Strong written and verbal communication abilities;
- Exceptional attention to detail and organizational capabilities;
- Ability to work effectively in a dynamic environment, managing multiple projects with or without direct supervision;
- Strong client service orientation, capable of collaborating with various departments to strategize and resolve issues;
- Adaptability to shifting deadlines and competing priorities;
- Analytical skills to evaluate the cost/benefit of actions and to define problems, gather data, establish facts, and draw conclusions;
- Ability to present routine information effectively in individual or small group settings.
EDUCATION AND EXPERIENCE
- Minimum of two (2) years of litigation experience in a law firm or equivalent setting;
- Bachelor's degree required or a comparable combination of education and experience;
- Familiarity with litigation support data applications and databases, preferably in a law firm or corporate legal department;
- Experience in electronic discovery support, including vendor coordination and data management from collection to production, is advantageous;
- Paralegal certification is preferred.
WORK HOURS
Core hours are Monday through Friday, 9:00 a.m. – 6:00 p.m., including a one-hour lunch break. Availability for occasional overtime is required.
