Job Title: Pediatric Acute Care Senior Administrative Assistant

Job Summary:

The Pediatric Acute Care Senior Administrative Assistant will provide administrative support to multiple Research Faculty Members in the Children's Health Institute. This role will involve a broad range of clerical, administrative, and general office activities to support the facilitation of administrative workflow within the department and/or unit.

Key Responsibilities:
  • Schedule appointments and meetings, and make arrangements for meetings, conferences, or travel for an individual, group, or department.
  • Research and respond to inquiries and calls, and escalate to other levels of the organization as appropriate.
  • Format, type, and edit correspondence, documents, memos, reports, meeting minutes, and/or presentation materials.
  • Compile financial and operational data from multiple sources to assist management in preparing and monitoring budget and workforce planning and/or other department reports.
  • Distribute and disseminate information within the department and/or unit.
  • Order supplies and arrange for equipment maintenance.
  • Submit, monitor, and track invoices, reimbursements, and supply management.
  • Establish and maintain an internal filing system.
  • Act as or support the Staff Development Advisory Network (SDAN), Safety Representative, and/or UKG editor within the department and/or unit.
  • Respond timely, effectively, and appropriately to deliverables.
  • Identify and respond appropriately to both internal and external customer needs utilizing available resources.
Requirements:
  • High School Diploma/GED is required; Bachelor's degree is preferred.
  • Two (2) years of office and administrative experience required in a healthcare or academic setting is the minimum requirement.
  • Ability to handle multiple demands and/or manage complex and competing priorities.
  • Ability to work within tight timeframes and meet strict deadlines.
  • Ability to demonstrate time management and priority-setting skills.
  • Ability to use software applications and operate technological devices.
  • Ability to use discretion and maintain privacy, confidentiality, or anonymity.
  • Ability to type proficiently (60-75 wpm); edit material using Windows or comparable system.
  • Familiarity with clinical and/or academic programs is highly desirable.
  • Experienced in handling multiple tasks with short timelines, and must be able to prioritize assignments.
  • Excellent time management and organizational skills.
  • Must possess computer skills to include, but not limited to, Excel, Word, and Outlook.
