Key Responsibilities:
  • Facilitate and finalize the Emergency Response Third Party Vendor Invoice IOC process, while providing ongoing training and support for the team as necessary.
  • Assist in resolving job closures, generating reports, managing disposals, and maintaining continuous communication with ESOL Operations Disposal Facilities and Vendors.
  • Process invoices and expenditures for larger/national vendors and customers, ensuring accuracy and promptness.

Essential Duties:

  • Ensure Emergency Response Team Members have access to invoices and job documentation via shared drives and SFDC.
  • Identify and submit all IOC charges for billing to ESOL Customers.
  • Create order lines in Preview.
  • Process expedited IOC invoices to mitigate impacts on ESOL or other customers.
  • Collaborate with vendors to resolve any invoice discrepancies.
  • Work with vendors to facilitate electronic invoice submissions.
  • Accurately enter all invoices and job documentation into the billing system in a timely manner.
  • Support customers, including ESOL Operations personnel, ER contacts, vendors, and accounting, with inquiries and issues.
  • Engage with various management levels on both small and large projects, identifying opportunities for process improvement within the department.
  • Coordinate activities to ensure deadlines are consistently met.
  • Train and assist team members to ensure rotation and backup for all job functions.
Working Conditions:

Work from a home office, with on-call responsibilities during 24/7 rotating shifts due to emergency or workload demands, subject to extended hours.

Qualifications:

Basic Required Qualifications:

  • Associate degree or higher in business administration.
  • A minimum of 2 years of experience in emergency response and environmental waste regulations.
  • Strong attention to detail.

Preferred Qualifications:

  • Hazwopper training.
  • Proficiency in Microsoft Word, Excel, and Access.
  • Excellent verbal and written communication skills.
  • Ability to maintain organization in a high-volume work environment.
  • Strong problem-solving and analytical skills.
  • Proficiency in Microsoft Office software, including Excel, Word, Access, Sales Force, and PowerPoint.
  • Typing speed of 40 wpm or more.
