Position Title:
Administrative Support Specialist for Service Operations

Starting Hourly Rate:
$26-$30 DOE

The role provides essential administrative assistance to the Service Division. Responsibilities include maintaining records for backflow testing, updating relevant databases, and ensuring gauge calibration is current.
Support the management of customer work order systems (including various software platforms)
Offer daily backup to Dispatch/Operations and cover during their absence
Assist the agreement coordinator with procurement of materials
Handle incoming calls and relay messages
Communicate with clients, vendors, and subcontractors as necessary.
Generate and maintain the Field On Call six-month schedule and update the answering service
Package and send oil samples for analysis
Establish new customer profiles in the database
Process expense reports for Service Technicians
Document Service meetings and attendance
Help maintain an organized office environment for the Service Group
Order office supplies as required

Proficiency in MS Outlook, Excel, Word, PowerPoint, and Project is essential.

  • Strong attention to detail and efficiency in administrative and clerical processes, including filing and records management.
  • Professional communication skills, particularly over the phone.
  • Ability to prioritize tasks and manage multiple interruptions effectively.
A degree or three (3) years of experience in customer service (or equivalent) is preferred.

  • Customer service experience is essential.
