Job Description:

The role of Senior Project Accountant at Adroit Partners involves working under the direct supervision of the Project Manager, with guidance from the Director of Project Accounting. The position assists in developing and executing the billing strategy outlined in the Project Execution Plan. Strong organizational and time management skills are essential, as well as strong communication and client service skills. Analytical skills are also crucial in pursuing timely resolution.

Main Responsibilities:

  • Process all material and subcontractor invoices for approval and input into the accounting system.
  • Review subcontractor pay application information, including current contract value, stored materials, owner direct purchasing, and retainage, and communicate irregularities to the Project Manager and Subcontractor as necessary.
  • Request, collect, and file partial and final release of liens.
  • Track and assist with subcontractor insurance compliance renewals.
  • Request and obtain valid W-9s for new vendors.
  • Collect and process Certified Payrolls, when required.
  • Receive and process payroll for hourly employees.
  • Assist with onboarding, development, and training for regional accounting workgroup.
  • Assist with project set up process, including Job Cost Budgets, verifying Staff Rates, escalation, equipment inclusion/exclusions, etc.
  • Assist in developing Clarifications and Assumptions in Owner Contracts to build contractual terms for accounting and billing requirements with project team; aid in strategy of meeting requirements in the Project Execution Plan.
  • Attend 'pencil-copy' meetings with subcontractors and Owners.
  • Assist with assigned projects' PSR reviews and meetings.
  • Routinely perform reconciliation and audit reviews to identify any over/under variances; communicate effectively and pursue resolution.
  • Work with Project Manager to create and monitor Billing Forecasts and change management; communicate with Owner regarding billings that include agreed upon forecasted cost (Insurances, General Conditions, etc.).
  • Prepare and process Owner billings on a schedule of values in accordance with contract requirements and MCC Standards (in ERP).
  • Generate billing backup detail and reconcile billings against job cost per MCC Standards.
  • Prepare Job Cost Corrections as required.
  • Reviews and provides guidance with NR forecasting to ensure its accuracy, with respect to actual cost incurred.
  • Consistently manage the AP/AR process in VISTA and drive regional compliance to do so.
  • Coordinate vendor payments with Corporate AP staff to ensure company policy followed prior to payment, including adherence to pay-if-paid provisions.
  • Set up and maintain general, subcontractor correspondence, and accounting files in document control system.
  • Helps maintain records of computer related equipment and prepares equipment transfers as needed.

Key Skills:
Strong computer skills are required. Proficiency in Microsoft Office applications and the ability to learn new programs/systems quickly is essential. Comfortable working in a paperless environment; experience working Vista or similar ERP. Good time management and organizational skills. Ability to understand and follow instructions. Functions actively and effectively as part of a team. Demonstrated mastery of various delivery methods and ability to work across multiple projects of various size and complexity. Proven ability to analyze, identify, and resolve issues with AR and AP timely.

Estimated Salary: $70,000 - $90,000 per year based on location and industry standards.
