Role ResponsibilitiesThe Administrative Support Specialist will be the first point of contact for customers and visitors, ensuring a friendly and professional atmosphere that fosters a positive initial experience. Key responsibilities include:
- Welcoming customers and visitors with warmth and professionalism, ensuring eye contact and a smile.
- Providing exceptional customer service and assistance both in-person and through electronic communication.
- Guiding customers and visitors throughout the facility.
- Monitoring and appropriately escalating inquiries received via the public-facing email address.
- Maintaining a tidy and organized workspace, including the entrance and lobby areas.
- Engaging with vendors to ensure smooth operations.
- Overseeing vendor performance and accountability.
- Preparing and submitting quotes to clients.
- Facilitating communication with internal teams.
- Coordinating the dispatch and routing of service technicians and crews.
- Occasionally addressing purchase order issues.
This is a full-time hourly role, operating Monday through Friday, which includes access to a comprehensive benefits package encompassing health, dental, vision, 401k, and paid time off.
QualificationsThis position is designed for entry-level candidates, with no prior experience in facility maintenance required. However, preference will be given to those with a background in customer service or related fields. Ideal candidates will possess:
- A high school diploma.
- Outstanding customer service abilities.
- Strong communication and interpersonal skills.
- The capacity to work both independently and collaboratively.
- The ability to manage multiple tasks and perform under pressure.
- Proficiency in Microsoft Office Suite.
- A basic understanding of business-related mathematics and financial concepts.
