Job Summary

We are seeking a highly organized and detail-oriented Assistant Project Manager to support our project management team. The successful candidate will be responsible for administering submittal, request for information, documentation management, and close-out processes, as well as progress reporting on these activities.

Key Responsibilities
  • Submittal Management: Oversee the identification, logging, tracking, and distribution of submittal items, expediting the review, approval, and close-out process.
  • Request for Information (RFI) Management: Log, track, and distribute RFIs, expediting the response, decision notification, and close-out process.
  • Documentation Management: Log new drawings and sketches, maintain procurement logs, and coordinate with the field to ensure office and field documents are reconciled.
  • Close-out Management: Oversee the close-out process, including development of requirements checklists, request and receipt of close-out materials, and packaging and distribution of close-out materials to the owner and others.
  • Reporting: Provide monthly and on-request reports on submittal, RFI, and close-out status.
  • Subcontractor Selection Support: Assist in evaluating subcontractors for work, negotiating contracts or purchase orders, and assisting with pre-qualification processes.
  • Schedule Development Support: Secure subcontractor or vendor lead, delivery, and installation time information to support development of project schedules.
  • Meeting Support: Attend and contribute to weekly and monthly project meetings, developing meeting minutes as needed.
Requirements
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite or related software.
  • Ability to remain flexible and efficient in a fast-paced environment.
  • Ability to make intelligent and quick decisions, work well under pressure, and when faced with unexpected occurrences or delays.
  • Ability to effectively multitask while analyzing and solving problems.
Education and Experience
  • Bachelor's degree in construction science, construction management, or civil engineering preferred.
  • 4+ years of construction-related experience; internships may be included.
Physical Requirements
  • Must be able to traverse and inspect all areas of the jobsite in all types of weather.
  • Must be able to lift up to 50 pounds at a time.
