Job Purpose & Scope
The Assistant Manager of Loan Operations is responsible for overseeing the Loan Administration team. This role ensures that daily operations align with established policies and procedures while conducting quality assurance assessments of post-closing review processes.
Essential Job Functions
+ Supervises the Loan Administration team.
+ Manages supervisory responsibilities for the Loan Administration staff, which includes:
+ Performance Evaluation;
+ Disciplinary Actions;
+ Recommendations for Promotions and Salary Adjustments;
+ Recruitment and Termination in collaboration with Human Resources;
+ Work Scheduling;
+ Task Assignment and Review.
+ Oversees daily operations of the Loan Administration group to ensure compliance with established policies and procedures.
+ Conducts quality assurance monitoring of post-closing review tasks.
+ Compiles and maintains statistical reports for the Loan Administration work group for executive management.
+ Fosters effective working relationships with team members to motivate, coach, and retain staff.
+ Guides staff in adhering to customer service communication standards and processes.
+ Participates in cross-functional teams.
+ Assesses process improvement suggestions and provides recommendations for implementation.
+ May require occasional travel for business-related functions supported by the Loan Administration team.
+ Willingness to work extended hours during the week and on weekends as necessary.
+ Supervises and mentors staff in addressing general customer complaints.
+ Resolves complex or sensitive customer issues.
+ Collaborates directly with Audit and Compliance teams to ensure adherence to policies and procedures.
+ Regularly exercises discretion and judgment in fulfilling essential job functions.
+ Maintains punctuality and attendance at work.
+ Adheres to Bank policies, procedures, and guidelines.
Knowledge, Skills & Abilities
+ Familiarity with core banking systems.
+ Understanding of imaging systems.
+ Proficient in effective verbal and written communication, including telephone skills.
+ Demonstrates exceptional customer service abilities.
+ Strong problem-solving skills.
+ Capable of working independently without close supervision.
+ Ability to manage multiple tasks simultaneously.
+ Skilled in developing and motivating staff to achieve team objectives.
+ Ability to interpret and provide guidance on bank policies and procedures while maintaining confidentiality.
+ Capable of thriving in a fast-paced environment with strict deadlines.
+ Ability to collaborate effectively with vendor staff and foster positive vendor relationships.
+ Provides technical support to staff and internal customers.
+ Ability to define key reports for the Loan Administration team.
+ Proficient in using computers and Microsoft Office applications, including Word, Excel, and Outlook.
Basic Qualifications
+ High school diploma or equivalent required.
+ At least one (1) year of experience in Loan Administration or a related banking support environment is required.
+ Minimum of three (3) years of experience with Microsoft Office is required.
+ Preferred: Minimum of two (2) years in a management or supervisory role.
+ Preferred: Minimum of three (3) years of experience in loan administration processes, including issue resolution.
+ Preferred: Minimum of three (3) years of experience with core banking software (e.g., Fiserv Premier) and its interfaces.
