Job Summary

Vivant Talent is seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide general administrative support, manage office supplies and equipment, and assist with the preparation and distribution of documents and reports.

Key Responsibilities:

  • Provide administrative support to the team, including managing phone lines, emails, and correspondence.
  • Assist with maintaining office supplies and equipment, ensuring the office is stocked and organized.
  • Support the preparation and distribution of documents, reports, and presentations for internal and external meetings.
  • Manage the filing system, including both electronic and physical files, ensuring records are up-to-date and accessible.
  • Greet and assist visitors, clients, and staff in a friendly and professional manner.
  • Handle sensitive and confidential information with discretion.
  • Perform light data entry, processing invoices, and tracking expenses.
  • Help maintain and update the organization's databases and contact lists.

Requirements:

  • Associate's or Bachelor's degree required.
  • Minimum of 2+ years of experience in an administrative role.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize work in a fast-paced environment.
  • A high degree of professionalism and the ability to handle sensitive situations with tact and discretion.
  • Bilingual in Spanish a plus.

Compensation and Benefits:

  • Hourly rate: $22-$25 per hour, depending on experience.
  • Overtime pay and full health benefits provided.
