TITLE: Administrative Support Specialist

QUALIFICATIONS:

  • High school diploma or G.E.D. Certificate required
  • Proficient keyboarding skills with a typing speed of at least 35 words per minute
  • Specialized skills in filing, telephone operations, and copy machine usage
  • Ability to read and adhere to written instructions
  • Minimum one year of experience with data entry on automated office equipment and software
  • Experience in handling confidential information
  • Basic mathematics skills are necessary
  • Demonstrated ability to communicate effectively and work collaboratively with students and staff
  • Current certification in CPR and First Aid from the American Red Cross/American Heart Association

REPORTS TO: Principal or designated Administrator

JOB GOAL: To execute a variety of responsible and technical tasks in support of an assigned school or district program or function.

PERFORMANCE RESPONSIBILITIES:

  • Familiarize with and adhere to written policies, procedures, and directives from the supervisor regarding job responsibilities
  • Assist in answering phone calls and greeting parents, students, staff, and others while providing necessary information
  • Operate computers and peripheral devices, utilizing various software to enter, modify, and update information; generate records, reports, lists, schedules, and summaries as required
  • Input all data necessary for student enrollment into the attendance and demographic database, including addresses, health records, lunch status, and bus assignments
  • Maintain logs, medication records, and files pertinent to the school clinic
  • Communicate with other departments and/or schools to gather information and prepare reports as needed
  • Provide technical information regarding policies and procedures of the assigned attendance program or office according to established guidelines
  • Compose and prepare correspondence for requesting, providing, or verifying information
  • When assigned to the library, assist in managing the circulation system of library materials and equipment
  • When assigned to Site Based, attend and document Council meetings, keeping the Site Based manual current; duplicate and distribute all written materials related to the Site Based Council to Council members and the Board of Education
  • Assist school personnel in enhancing student attendance
  • Perform additional duties consistent with the assigned position as requested by the supervisor

Special Ed Duties: 37 1⁄2 hours per week | 9 1⁄4 months | 180 days

Maintenance: 37 1⁄2 hours per week | 12 months | 246 days

Transportation Duties: 40 hours per week | 12 months | 246 days

Note: School Duties and Computer Duties require training in CPR and First Aid. Allocations for school duties vary by educational level.
