Key Responsibilities
Surgical Coordination (50%)
- Manage the scheduling of surgical procedures
- Respond to phone inquiries in a professional and courteous manner
- Accurately complete post-operative data entry in a timely fashion
- Record surgical charges daily in accordance with established protocols
- Prepare and distribute the daily surgical schedule as required
- Ensure effective coordination with hospitals, surgical centers, and internal teams for any special surgical requirements
- Perform additional tasks as assigned
- Maintain departmental filing systems
- Sort and distribute incoming and outgoing correspondence
- Procure office supplies as needed
- Compile and publish an accurate daily call list
- Provide clerical support functions, including maintaining departmental records, preparing documents and correspondence, organizing inventory of supplies, and designing forms and graphs
- Assist with chart documentation
- Support patient scheduling, registration, insurance verifications, and obtaining necessary authorizations or referrals for appointments
- Perform additional tasks as assigned
- High school diploma or GED equivalent
- 2-3 years of experience in a medical office or similar environment, with computer proficiency preferred
- Familiarity with medical terminology and understanding of medical diagnostic procedures, as well as healthcare billing and authorization processes
- Prior experience in insurance verification and scheduling is essential
- General office skills: scheduling, telephone etiquette, typing, business acumen, organization, time management, customer service, verbal communication, PC proficiency, and reporting capabilities
- Knowledge of HIPAA and confidentiality regulations
- Strong organizational skills and attention to detail
- Minimum of 1 year as a medical receptionist is required
- Computer skills: proficiency in Excel, Word, and Windows; 1 year of experience required
- Ability to manage multiple tasks and responsibilities effectively
- Strong telephone and computer skills
- Skillful and tactful in patient management
- Excellent communication and organizational abilities
- Understanding of medical office operations
- Ability to interact effectively with physicians, patients, and colleagues
- Capability to triage patients and take basic vital signs (blood pressure, pulse, respiration)
- Self-motivated with strong interpersonal communication skills
This role necessitates extended periods of sitting and phone work, along with repetitive motions such as bending, stooping, twisting, walking, standing, reaching overhead, and pushing or pulling. Manual dexterity is essential, as is the ability to focus on details amidst a busy environment. The position may require lifting up to 20 pounds.
