About the Opportunity

Vail Health is seeking a highly skilled and detail-oriented Patient Access and HIM Representative to join our team. As a key member of our healthcare team, you will be responsible for ensuring the smooth and efficient registration process for our patients, while also maintaining accurate and up-to-date medical records.

Key Responsibilities
  1. Register patients and perform all registration-related functions, including explaining and obtaining necessary patient consents and authorizations in a timely manner.
  2. Communicate effectively with patients to assist in access to care, answering phone calls and responding to inquiries in a customer-service oriented manner.
  3. Resolve non-clinical questions within scope of knowledge, providing excellent customer service on the phone and/or in person.
  4. Perform ongoing documentation audits for medical necessity, plan of care, and other related tasks or requirements by payors, including Medicare.
  5. Schedule appointments for procedures, educating patients on pre-exam and post-exam requirements as needed.
  6. Manage and respond to incoming office correspondence, including mail, email, faxes, and telephone calls.
  7. Organize and monitor front desk supply inventory to ensure cost-effective departmental spending.
  8. Follow CMS requirements for checking medical necessity and communicate relevant coverage/eligibility information to patients.
  9. Identify patients who will need Medicare Advance Beneficiary Notices (ABNs) of non-coverage and maintain accurate records of authorizations within the EMR.
  10. Complete Medicare Secondary Payer Questionnaire for Medicare beneficiaries in accordance with CMS standards.
  11. Maintain accurate and organized medical records, arranging for scanning and verification of completeness.
  12. Inform physicians of signed documentation delinquency according to policy and procedures.
  13. Communicate nursing documentation deficiencies to clinical management.
  14. Receive and log requests for medical information, obtaining appropriate releases before filling medical record requests.
  15. Assist management with month-end closing procedures and prepare/review various month-end reports.
  16. Assist clinical staff with collection and coordination of data for medical record review.
  17. Receive requests for records to be reviewed by external auditors, compile copies, and/or set up queue for these encounters to be reviewed.
  18. Role model the principles of a Just Culture and Organizational Values.
  19. Ensure compliance with all applicable HIPAA, EMTLA, and Joint Commission requirements, providing required associated literature to patients.

  • Customer service and clerical experience.
  • Working knowledge of the English language, including reading, writing, and speaking English.
