Position Title: Regulatory Affairs Coordinator

Objective of the Role:

To facilitate prompt and precise legal and regulatory submissions while delivering exceptional service for US 501(c)(3) Standard Management Clients.

Work Schedule: 20-25 hours/week, with potential for full-time.

Collaborative Teams:

Charity Management Team

Finance Team

IT Department

Reporting Structure:

Reports to the US Client Services Manager.

Core Responsibilities:

  • Oversee, finalize, and submit regulatory reports for US 501(c)(3) organizations.
  • Gather, organize, and evaluate financial documentation and necessary information from clients for IRS 990 submissions.
  • Ensure timely completion of all federal and state filings, maintaining compliance and good standing of entities, collaborating with external vendors as needed.
  • Establish new 501(c)(3) entities and prepare/file essential documentation to secure IRS approval.
  • Manage the dissolution of 501(c)(3) entities and prepare/file requisite paperwork for dissolution.
  • Coordinate with Charity Management team members to relay information to clients as necessary.
  • Maintain accurate records of time dedicated to US Standard Management clients.
  • Update client information in Zoho, ShareFile, and other relevant systems.
  • Distribute standardized materials as directed.
  • Stay informed on the technical aspects of operating a US nonprofit, as well as new products, services, and policies from Chapel & York.
  • Contribute as part of a growing team focused on sustaining our success.
  • Engage with Chapel & York's social media and marketing initiatives as required.

Essential Skills and Qualifications:

  • Demonstrated comprehensive knowledge of US charity legal and regulatory standards.
  • Exceptional attention to detail.
  • Proven ability to manage multiple tasks and prioritize effectively to meet strict deadlines.
  • Direct experience with US banking and postal services.
  • Strong communication skills with internal and external stakeholders at all levels.
  • Experience within the US nonprofit sector.
  • Familiarity with CRM systems.
  • Ongoing interest and engagement with the global charity sector.
  • High level of self-motivation, with the capacity to learn rapidly and undertake tasks beyond the current skill set.
  • Strong organizational skills and well-developed communication abilities.
  • Ability to work independently with remote oversight, manage pressure, and set appropriate priorities to meet deadlines.
  • Proven capability to collaborate within a global team; occasional communication outside of standard office hours may be necessary due to time zone coordination.
