The firm is looking for a full-time Office Coordinator to assist in the operations of our San Francisco office. This role is non-exempt and will involve close collaboration with the Office Manager.

Key Responsibilities:

  • Assist the Office Manager and administrative staff with various office services, including reception, duplicating, catering, conference services, and supply management.
  • Effectively communicate with attorneys, professional staff, clients, and visitors through phone, email, and in-person interactions.
  • Oversee front desk operations, including answering calls, welcoming visitors, and managing access for visiting attorneys and guests.
  • Coordinate the scheduling of conference rooms.
  • Work alongside the Facilities Coordinator to prepare for client meetings, internal events, and other facility-related tasks.
  • Collaborate with various departments, including Executive Assistants, Office Facilities, Legal Support Services, and Technology Support Services, as well as with other offices of Debevoise.
  • Assist in ordering supplies, snacks, and beverages, while maintaining organized supply rooms.
  • Support the Office Manager with invoice processing, credit card reconciliation, facilities requests, and vendor compliance forms.
  • Perform additional administrative tasks as needed.

Qualifications:

  • A minimum of 3 years of experience in a law firm or corporate setting.
  • Proficient in Microsoft Office applications.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to manage time effectively, handle multiple tasks, and work collaboratively in a team environment.
  • Willingness to work in the office five days a week with potential for overtime.

Preferred Qualifications:

  • Associate's Degree or diploma from a business school.
  • Experience in a law firm is advantageous.
