Position Title: Facilities Coordinator
Position Overview:
Under general supervision, you will be fully accountable for all functions related to your assigned customer accounts. This role involves conducting follow-ups and closure activities for open work orders associated with dedicated National/Supplier Management Accounts, ensuring compliance with contractual obligations. The aim is to guarantee timely completion of work orders. Additionally, you will manage daily communications with customers, keeping them informed about ongoing work, providing updates, and addressing any escalations. You will serve as the primary contact for designated clients, handling all accounts payable, billing, and service provider issues.
Key Responsibilities:
- Provide administrative support including procurement, vendor oversight, scheduling, reporting, and Purchase Order management as directed by supervisors.
- Offer administrative and technical guidance to subcontractors in executing work assignments.
- Collaborate with all departments to ensure optimal equipment functionality and uninterrupted service.
- Respond to maintenance and repair requests for facilities, including HVAC, security systems, IT equipment, and emergency situations.
- Maintain accurate records, files, controls, and procedures to support management and operational efficiency.
- Foster a robust safety culture in alignment with EGS guidelines.
- Ensure effective communication with employees, management, contractors, and customers.
- Participate in budget and forecast development while identifying and implementing cost-saving measures across all operations.
- Conduct regular reporting on open work orders for supervisory review.
- Keep meticulous records of all office-related matters, ensuring files are current and comprehensive.
- Communicate with supervisors regarding work performed and preventive maintenance activities.
- Attend weekly staff meetings and safety training sessions.
Qualifications:
- Associate's Degree or equivalent experience.
- A minimum of two years of experience in facilities maintenance, property management, or customer service is required.
- Experience in managing service delivery for trades such as electrical, HVAC, plumbing, or roofing is preferred.
- Bilingual proficiency in English and Spanish is advantageous.
- Advanced skills in MS Windows Applications, particularly MS Excel and Word.
- Typing speed of at least 50 words per minute with strong writing abilities.
- Professional demeanor with a commitment to exceeding expectations.
- Ability to work effectively under pressure, make sound decisions with limited guidance, and know when to escalate issues to management.
- Strong communication skills to interact efficiently with all operational staff and call center teams.
- Critical thinking and problem-solving capabilities.
- Maintain a courteous and professional demeanor at all times.
- Exhibit confidence in sharing and receiving relevant information.
- Demonstrate punctuality, reliability, and a strong work ethic.
