Business Office Manager Job Description

We are seeking a highly skilled Business Office Manager to join our team at Diversicare Support Center(BSC). As a Business Office Manager, you will play a critical role in fostering an environment of Service Excellence, extending our commitment to all those we serve.

Key Responsibilities:

  • Assist residents and their families with the application process to determine potential eligibility for Medicaid, including completing application forms and collecting necessary documents.
  • Perform a variety of tasks while interacting with residents, family members, and collaborating with coworkers.
  • Run daily census reconciliation reports, balance census, and resolve errors/variances to ensure accuracy.
  • Assemble invoices and corresponding statements for accounts payable and submit them according to SOP.
  • Maintain necessary billing and financial information on resident business files and keep them organized.
  • Maintain resident trust accounts, balance monthly, and send statements to residents as required.
  • Maintain general petty cash and resident trust petty cash and make necessary disbursements.
  • Accumulate records from department managers and accomplish month-end closing, reporting all necessary information for Regional Business Office and Central Business Office teams.
  • Reconcile Petty Cash Card bank statements monthly.
  • Perform and coordinate all collection efforts with the Administrator.
  • Send bills monthly to residents and third-party agencies, maintain accurate records of payer sources, addresses, telephone numbers, etc.
  • Explain bills to residents as necessary and maintain appropriate backup records.
  • Maintain effective communication with residents, families, and facility staff.
  • May coordinate the processing of Center Payroll and team member benefits.
  • Ensure referrals are processed, including a financial evaluation of the potential resident's payment options.
  • Maintain working knowledge of the facility's practices related to all pay status types.
  • Ensure residents are accurately admitted, transferred, and discharged from the facility software on an ongoing basis.
  • Ensure resident pay status changes are accurately recorded on the facility's internal daily census communication tool.
  • Ensure admission paperwork is completed and filed according to Diversicare policy.
  • Collaborate with interdisciplinary team members, physicians, consultants, and community agencies to identify and resolve issues.
  • Participate in accounts receivable review calls/webinars and in-person meetings as deemed necessary by Central Business Office and or Regional Consultant.
  • Accept ownership and accountability for the successful completion of all business office functions and reviews, analyzes, and interprets financial data to monitor progress toward achievement of goals.
  • Monitor and intervene/assist with individual applications throughout their lifecycle and create communication to necessary parties on status and needs.
  • Maintain the Medicaid Pending portal with Notes and Updates to Application status.
  • Understand the Medicaid Pending application process and collaboratively interact with necessary parties to get decisions on applications.
  • Manage the Medicaid Application Process by working with the patient's Responsible Party.

Requirements:

  • Associates Degree preferred, will consider an equivalent combination of work experience and education.
  • ~1+ year's prior Business Office, Accounts Payable, and/or Medical Billing and Collections experience required with Long Term Medicaid experience preferred.
  • ~ Ability to adapt rapidly to different systems and software with proficiency.
  • ~Clerical ability required to detect and avoid errors in posting figures between accounts.
  • ~ Good interpersonal skills are needed to effectively work with residents, families, and outside agencies.
  • ~ Ability to travel 5 days a week.
  • ~ Ability to perform analysis and respond appropriately to findings and conclusions.
