Job Title: Accounts Receivable and Collections Specialist

Job Summary:

We are seeking an experienced Accounts Receivable and Collections Specialist to join our team at Advantage Service Group LLC. The successful candidate will be responsible for overseeing the entire accounts receivable and collections process for all locations, ensuring timely and accurate processing of invoices, and maintaining excellent customer relationships.

Key Responsibilities:

  • Manage the daily management of accounts receivable transactions, including batching, syncing, and reconciling to our ERP system.
  • Oversee collections for all locations, including assisting in clean-up as needed, weekly reporting, and follow-up, and management reporting on the results of collections each month.
  • Provide customer service regarding collection issues, process customer refunds, process and review account adjustments, resolve client discrepancies, and short payments in coordination with the branches.
  • Review customer invoices for accuracy and ensure all customer payment procedures are followed.
  • Enlist the efforts of the sales team, management, and branch teams when necessary to accelerate the collection process.
  • Monitor, track, and enforce AR department policies and procedures, identifying inefficiencies, proposing, and documenting new concepts and procedures.
  • Manage customer and compliance portals or assist as needed.
  • Provide weekly and monthly reporting to General Managers as well as the Management Team on the status of collections.
  • Keep accurate and detailed customer collection notes in the system of record.
  • Manage tax exemption certificates for resellers/customers, if applicable.

Requirements:

  • Associate's degree preferred.
  • A minimum of 3 years in a role with a similar scope.
  • Experience with Sage and/or Service Titan a plus but not required.
  • Strong ethics and discretion when dealing with confidential and sensitive data.
  • Proactive and solutions-oriented mindset with a passion for troubleshooting.
  • Strong analytical and problem-solving skills with extensive technical knowledge.
  • Ability to thrive in a dynamic, fast-paced, and sometimes ambiguous environment.
  • Strong verbal and written communications skills.
  • Highly proficient in Excel.
